Position Description:
The Summer Reunion Weekend Planning Team is seeking an event assistant to provide support for the planning and on-site coordination of the event during the week of June 4-8, 2024.
● Assist with Summer Reunion Weekend event registration, office assistance, pre-event set up, post-event clean up, event greeters, and other duties as assigned.
● Event registration includes distributing event packets to attendees, making name tags, registering parents, alumni, and guests for campus events, answering questions about events, recording walk-on guests, and collecting event fees.
● Office assistance includes printing event signs, creating event packets, arranging staging areas, and familiarizing yourself with weekend events.
● Pre-event set up includes setting up the registration check-in table to greet guests, organizing name tags, and arranging décor.
● Post-event clean up includes removing the event décor from rooms, organizing walk-on guests’ name tags, and returning event signage to the staging area.
● Event greeting includes helping alumni and guests find events, their seats at events, and answering general questions about the weekend.
● Other duties as assigned include, but are not limited to, arranging event décor, escorting parents, alumni, and their guests to events, communicating with catering on additional needs, and answering questions about campus.
Minimum Requirements (candidates must possess these requirements in order to be hired into this position):
● Strong verbal communication skills, good customer service skills, attention to detail, and knowledge of Google Office Suite.
● Ability to learn quickly and use good judgment in resolving registration issues.
● Must be able to bend and lift up to 15 pounds.
● Candidates must be able to explain and/or demonstrate that they possess the knowledge, skills, and abilities to safely perform the essential functions of the job, with or without reasonable accommodation.
Hours per week: 40 hours – June 4-8, 2024
